Privacy Policy

How we collect, use and protect your personal information.

Last updated: September 2026

This privacy policy explains how Waxstop (“we”, “us”, “our”), 3 Spencer Street, Birmingham, B18 6DD, collects and uses personal information when you visit our website, book an appointment or visit our waxing centre. We are the data controller for this information and we process it in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Information we collect

  • Contact and booking details: your name, email address, phone number, appointment history and payment status.
  • Consultation information: details about your skin, allergies, medication or medical conditions that may affect your treatment. This is health data, and we only collect it with your consent so we can carry out your treatment safely.
  • Messages: anything you send us through live chat, WhatsApp, email or social media.
  • Website usage: your IP address, browser type, the pages you visit and how you arrived at our site, collected through cookies and similar technologies.

How we use your information

  • To take and manage your bookings, send appointment confirmations and reminders, and process payments.
  • To carry out your treatment safely and keep a record of your consultation.
  • To reply to your questions and messages.
  • To improve our website and understand how visitors use it.
  • To send you offers and news, but only if you have opted in. You can unsubscribe at any time.

Our lawful basis

We process your information because it is necessary to provide the service you have booked (contract), because we have a legitimate interest in running and improving our business, because you have given your consent (for marketing, non-essential cookies and health information), or because we have a legal obligation, for example keeping financial records.

Who we share it with

We never sell your personal information. We share it only with trusted service providers who help us run our business, and only as far as they need it:

  • Zenoti, our online booking and payment system.
  • WhatsApp (Meta), which we use for enquiries and bookings when you message us.
  • Google Analytics and Meta, which help us measure website visits and advertising.
  • Our website host and IT providers.

Some of these providers may store data outside the UK. Where they do, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or an adequacy decision.

Cookies

Our website uses essential cookies to work properly, plus analytics and advertising cookies that help us understand how the site is used and measure our adverts. Non-essential cookies are only set with your consent, and you can change your choice or clear cookies at any time through your browser settings.

How long we keep it

We keep client and consultation records for as long as you remain a client and for up to 6 years after your last appointment, in case of any treatment or insurance query. Financial records are kept for 6 years as required by law. Marketing preferences are kept until you unsubscribe.

Your rights

You have the right to:

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct anything that is inaccurate or incomplete.
  • Ask us to delete your information, where we have no legal reason to keep it.
  • Object to or ask us to restrict how we use your information.
  • Ask us to transfer your information to another organisation.
  • Withdraw your consent at any time, including for marketing and health information.

To use any of these rights, contact us using the details below. We will respond within one month.

Keeping your information safe

We use secure systems and limit access to your information to the people who need it to provide your service. Paper consultation records, if used, are stored securely at our centre.
